A well-structured PAI system doesn’t store in the AI, but thinks with the AI—and the difference is evident in the quality of the outputs.
A few years ago, when I was still jotting down thoughts on paper, I had that rare feeling: an old note written months earlier would bring to light something related to an entirely different problem. I wasn’t looking for it—it was just there, and it surprised me. The gray matter surprising itself.
With the introduction of AI, that feeling disappeared. Not because my system got worse—but because AI is always on standby. You never have to wait for something to surface. You ask, and it delivers, delivers, delivers. Surprise has been replaced by service.
This is the moment where the idea of a personal AI system becomes interesting—and where most people tend to slip up.
Note-taking vs. knowledge building—the crucial difference
The difference between note-taking and knowledge building is seemingly technical. In reality, it’s a matter of perspective.
Note-taking is recording. You capture what you’ve received before you forget it. An idea, a quote, a source. Its value lies in the fact that it isn’t lost. This is important—but on its own, it’s not enough. A large collection is nothing more than what you’ve put into it.
Knowledge building is something else: it is the process by which incoming information connects to what you already know, and the connection itself creates something new. Niklas Luhmann, the sociologist behind the Zettelkasten method, started precisely from this: the value of notes lies not in the storage of information, but in the network of connections. A card on its own is nothing. A note that points to another, and the tension between the two creates a third—that is thinking.
The introduction of AI could upset this logic. If AI answers every question immediately, connections aren’t built—the answer comes in, and that’s it. There’s no tension, no gap, no productive uncertainty that drives thinking. Instead of PKM, we get a PAA (personal AI assistant)—which isn’t the same thing.
Why the “second brain” metaphor isn’t enough
Tiago Forte’s concept of “Building a Second Brain” was a huge hit, and deservedly so. But in the age of AI, the metaphor has become a trap.
The original promise of the second brain: you don’t have to keep everything in your head. Record it, organize it, and the system will preserve it. Fine. But the “brain” metaphor suggests that the system thinks—and with AI, this is precisely the misunderstanding that occurs most often.
People build AI-enhanced PKMs and think: now they have a second brain that’s smarter and faster than the first. The reality is different: they have an extremely efficient server system that answers questions. This is useful. But it doesn’t replace your own thinking—it’s just easier to believe that it does.
A well-designed PAI (personal AI system) isn’t a brain—it’s a thinking partner. The difference: a partner asks follow-up questions, challenges you, and reveals your own blind spots. The server does what you ask.
The capture → process → connect → retrieve loop with AI
The four steps of the specific system don’t change with AI—but AI’s role is different at every step.
Capture. Here, AI truly sets you free. Quick recording, transcribing audio, extracting key points from a source—these are support functions that can be delegated. The goal: as little friction as possible between the idea that comes to mind and the system. AI is a quick sieve, not a filter.
Process. This is the step where relying on AI is most dangerous. Processing—elaboration, phrasing things in your own words, generating questions from the incoming material—is the process where real learning and thinking take place. AI can do this for you. But if it does, the processing is left out. Exception: AI as a challenging partner—give it the unprocessed raw material and ask it to ask you what you think about it. This way, the thinking remains yours throughout.
Connect. Finding connections is the area where AI truly knows something you don’t. You can’t see into your own blind spots—AI can show you how a fresh idea connects to older material you may have forgotten. But evaluating the connection—whether it’s relevant, what it means, what it creates—falls back to you. Finding the connection is machine work. Interpreting the connection is human.
Retrieve. AI beats traditional PKM in search and retrieval. But processing the retrieved material presents the same challenge: the question isn’t whether the AI finds it—but what you do with what it brings back.
AI as a Thinking Partner — A Concrete Example
You shouldn’t treat AI as a thinking partner by asking it to “give me the answer,” but rather by asking it to “help me work through the idea.”
This difference is also reflected in the prompt. “Write a summary” versus “Ask about what I didn’t consider.” “Formulate it” versus “Tell me where my line of reasoning isn’t complete.” The first is service. The second is partnership.
In a well-functioning PAI system, the AI doesn’t provide the final result—it serves as a feedback mechanism for the thought process. It pauses where you need to go further. It asks questions where you’ve made assumptions. It brings up what you jotted down long ago but have since forgotten.
This isn’t a natural default for AI. It has to be built into the system—and the system must be consciously designed for this purpose.
What Brings the System to Life
The greatest enemy of PKM systems is stagnation: the system grows richer, but it’s no longer used because there’s no feedback. A good system isn’t one that has a lot of content—it’s one you keep coming back to.
AI can help with this too: not by adding more, but by leading you back to what’s already there. The best prompt I’ve ever given my own system: “Which of my articles are related to this current question, and which ones haven’t I opened in a long time?”
The system comes alive when the past connects to the present. AI can uncover this connection—but only if there is something to uncover. And what is built there is still yours.
